Sort your Gemini chats into notebooks

Gemini’s answer to Projects is the notebook, a sidebar space that keeps one job’s chats, files and instructions together. Here is how to file your old chats into them, with a prompt that plans the notebooks for you.

How-to

Paste your recent chat titles into the prompt below and it proposes the notebooks to make, the instructions for each and which chats to move or delete. Gemini cannot file chats for you, so the plan ends as a click list you work through in the sidebar.

The prompt: plan your notebooks

PromptPlan my Gemini notebooks
You are helping me sort my Gemini chats into notebooks. A notebook in Gemini holds one job's chats, files and standing instructions in a single place. Act like a careful assistant who has moved many people from ChatGPT and Claude Projects into Gemini: plan first, keep it simple, and be honest about what you cannot see. If you guess, I may delete a chat I needed or file work chats in the wrong place, so a plain "I am not sure" beats a tidy answer.

ABOUT ME (I fill this in once; any line can say "not stated")
- My recent chat titles, one per line: [paste 20 to 60 titles from the Gemini sidebar, e.g. "Kitchen quote comparison", "Q3 board deck outline", "Rewrite my LinkedIn about", "Spanish verbs practice"]
- Jobs I come back to every week or month: [e.g. "client reports for two clients", "meal plans", "job applications", "running a small online shop"]
- Files I keep re-uploading: [e.g. "brand guide PDF", "my CV", "price list spreadsheet", "none"]
- My plan: [Free, Google AI Plus, Pro, Ultra, or not sure]
- My account: [personal Google account, work account, school account, or both a personal and a work account]
- Where I am coming from: [ChatGPT Projects, Claude Projects, both, or neither]
- If coming from Projects, my old projects and what each held: [e.g. "Freelance: instructions plus 6 PDFs", "House move: 40 chats, no files"]
- Things that must stay apart: [e.g. "client A and client B never in one notebook", "health stuff separate", "nothing"]
- Keep Activity in Gemini: [on, off, or not sure]
- Can I see Notebooks and New notebook in the sidebar: [yes, no, or not sure]
- Where I live: [country, or not stated]
- How many notebooks I want at most: [e.g. "5", "no limit"]

WORK IN STAGES AND STOP WHERE I SAY

Stage 1. Read and group. Work only from the titles and notes I pasted. If you can also see my past chats, say so and name the ones you used; do not open or summarise others. Group the titles into jobs. For each title write: the group, and how sure you are (sure, likely, or "title unclear"). Never invent what a chat contains from a vague title such as "Help" or "New chat"; mark it "title unclear". Then, before you propose any notebook, settle these with me:
- If Keep Activity is off or not sure: tell me that with it off, new chats do not save into a notebook, the notebook cannot use its past chats, I cannot add existing chats, and I cannot add Drive files. Ask whether I want to turn it on, and do not assume yes.
- If I have a work or school account, or both: ask which chats belong to which account. Work notebooks stay in the work account and personal ones in my personal account, never mixed.
- If I cannot see Notebooks or New notebook, or am not sure: tell me Google is still rolling notebooks out, and in some places I connect Gemini Notebook myself by typing @Gemini Notebook in a prompt; on a work or school account, my admin has to turn Gemini Notebook on, so give me a two-line note I could send them.
- Up to five more questions that would change the plan, for example "Is 'Q3 deck' for your job or a side business?"
Stop and wait for my answers.

Stage 2. Propose the notebooks. Plan within my limits: Google's published limits, which can change, are: Free 100 notebooks and 50 sources each; Google AI Plus 200 and 100; Google AI Pro 500 and 300; Google AI Ultra 500 and 500 or 600, depending on the Ultra plan. If I said 'not sure', plan to 50 sources and tell me to check my plan. If a notebook needs more than my limit, split it or combine files into fewer documents, and tell me which. After I answer, give me a table with one row per notebook: name (plain and searchable, under five words, e.g. "Client A reports"), what it is for in one line, which chat titles move in, which files to add as sources, and whether it is new or replaces an old project. Keep within my maximum. Merge any group of three or fewer chats into a bigger notebook or leave it loose, and say which you chose and why.

Stage 3. Write the standing instructions. For each notebook, write instructions I can paste into its settings, under 150 words each, written to Gemini in the second person. Cover: who I am in this job, what good output looks like, the format I want, and what to ask me before it starts. Use only facts I gave you; where you need one I did not give, write [NEED: what it is].

Stage 4. Sort what stays out. List the chats to leave loose and the chats I could delete, each with a one-line reason. Never put a chat on the delete list if its title is unclear. Warn me that deleting a notebook also deletes every chat and source inside it.

Stage 5. Map my old projects. If I am coming from ChatGPT or Claude Projects: map each old project to one notebook in a table (old project, new notebook, instructions to copy across, files to upload again). Tell me project files do not come across with Google's chat import, so they must be uploaded again. If I said neither, skip this stage.

Stage 6. Give me the click list. You cannot move chats or create notebooks for me from this conversation, so give me a numbered checklist to work through myself, in this order: turn on Keep Activity if I chose to, create each notebook, paste its instructions, add its sources, then file each chat. For filing, the path on a computer is the More menu next to the chat in the sidebar, then Add to notebook. Where you are not sure of a menu name on my device, write [CHECK IN APP] and say what to look for.

SELF-CHECK BEFORE EACH ANSWER
- Every chat title I pasted appears exactly once: in a notebook, on the leave-loose list, or on the delete list.
- No "title unclear" chat is on the delete list.
- No notebook mixes things I said must stay apart, and no work notebook sits in a personal account.
- Every fact in the instructions came from me, or is marked [NEED: ...].
- Nothing says you moved, created or deleted anything, because you cannot from here.

Run it in a normal Gemini chat, outside any notebook, so the plan does not land inside the first notebook you make.

Set up each notebook, step by step

  1. Check Keep Activity is on. It is the setting that saves your chats and uploads to your Gemini activity, which Google uses to improve its services, per its Privacy Hub.
  2. Know what turning it off costs. Google’s notebooks help page says that with it off, new chats do not save to a notebook, the notebook cannot use its past chats, you cannot add existing chats and you cannot add Drive files. The switch is on your Gemini activity page.
  3. If there is no Notebooks section, find out why. Google may still be rolling it out to you. In some places, Google asks you to connect Gemini Notebook yourself by typing @Gemini Notebook in a prompt. On a work or school account your admin has to turn Gemini Notebook on, as the Gemini Notebook page explains.
  4. Create the notebook. Open the sidebar and, under Notebooks, choose New notebook, then name it and type a first message.
  5. Paste its standing instructions. Go to All notebooks, open the notebook, then More > Notebook settings, paste the instructions the prompt wrote and save. Gemini uses them in every chat in that notebook, so you stop retyping your set-up.
  6. Add the files you keep re-uploading. Sources are the files or links that the notebook reads. Use Add sources for PDFs, documents, spreadsheets, images, audio, text files, Drive files, web links or pasted text. Upload a file once here and every chat in the notebook can use it.
  7. File one chat as a test. In the sidebar, open the More menu next to a chat and choose Add to notebook; in the Gemini app on Mac, right-click the chat.
  8. File the rest. It goes one chat at a time, so start with the chats you still use and leave the rest loose.
  9. Pin the notebooks you use most. From All notebooks, use More > Pin, and pinned ones sit at the top of your list. Start new chats from inside the notebook so they save there.

How many files each plan holds

Google’s Gemini Notebook plans page lists these limits, which it says can change:

  • Free: 100 notebooks, 50 sources in each.
  • Google AI Plus: 200 notebooks, 100 sources in each.
  • Google AI Pro: 500 notebooks, 300 sources in each.
  • Google AI Ultra: 500 notebooks, 500 or 600 sources in each, depending on the Ultra plan.

The notebooks help page says “up to 600 sources”, which is only the top Ultra figure.

Coming from ChatGPT or Claude Projects

  1. Copy each project’s instructions across by hand. Paste them into the new notebook’s settings, and trim any line that only made sense in the old tool.
  2. Upload the project files again. Google’s switching page says its import tool cannot bring project files, so add them as sources in step 5 above.
  3. Check the chat import works for you. Google’s import help page says it needs a personal account and an age of 18 or over, can take up to a day, and is not available everywhere, so check the page for where you live.
  4. Bring old chats over if you want them. Under Settings & help > Import memory to Gemini > Import chats, upload the export .zip from ChatGPT or Claude (up to 5 GB, five a day).
  5. File the imported chats you need. They show in your chat list with an import icon. The import page does not say whether they can go into a notebook, so try Add to notebook on one before you plan around it.

The honest bit

  • Deleting a notebook deletes what is inside. The help page says any chats and sources you added go with it, so keep a notebook you are unsure about and rename it instead.
  • Imported chats are used to improve Google’s services. The import page says imported and continued chats are saved in your activity and used to improve Google’s services, including training its AI models. If your export holds client or health details, think twice before you upload it.
  • Run a memory check. After you file a few chats, ask inside the notebook: What do you know from the earlier chats in this notebook? If it cannot name anything from them, check Keep Activity first.

Do it now

Type or copy your last 30 chat titles from the sidebar, paste them into the prompt with your answers, and set up the first notebook it suggests. Once that one feels right, file the rest at your own pace.
